Who We Are

This website is operated by Coates Insurance Group LLC. We are an independent insurance brokerage based in Michigan. Our contact email is tim@coatesinsurancegroup.com.

Information We Collect

When you submit a form on our website, we collect the information you provide. Depending on the form, this may include:

• Full name
• Phone number
• Email address
• State of residence
• Insurance interest or motivation (if provided)

If you apply for a career opportunity, we may also collect:

• Resume or CV file (PDF or Word document)
• Work authorization status
• Responses to screening questions

Uploaded resumes are stored securely in cloud storage and are only accessible to authorized personnel. We retain resume files for the purpose of evaluating your application and do not share them with third parties, except service providers acting on our behalf to store and deliver data (see Third-Party Services below).

Cookies & Analytics

This website uses Google Analytics (GA4) to understand how visitors interact with our site. Google Analytics may set cookies on your browser (such as _ga and _ga_*) to distinguish unique users and sessions. These cookies do not contain personal information. You can learn more about how Google uses data at Google's privacy page.

Your choice: Analytics is on by default. You can turn it off at any time by clicking "Your Privacy Choices" in the website footer. When you opt out, no Google Analytics cookies are set, any existing GA cookies are cleared from your browser, and no analytics events are sent to Google.

Global Privacy Control: If your browser sends a Global Privacy Control (GPC) signal, we honor it as an automatic opt-out: Google Analytics is suppressed, no GA cookies are set, and the privacy panel shows a notice confirming the signal was received. GPC takes precedence over any choice you may have stored on this site.

In addition, we operate our own basic analytics system that records:

• Pages visited
• Referral source (how you found our site)
• Browser user agent string
• General device type and browser
• A randomly generated session identifier (stored temporarily in your browser session, not persisted after you close the tab)

If you arrive at our site through a marketing link, we may capture campaign parameters (such as UTM source, medium, and campaign) to understand which outreach efforts are effective. This data is associated with your visit, not with your personal identity, unless you also submit a form.

We do not use advertising cookies or cross-site tracking. You can disable cookies in your browser settings if preferred.

Phone, Text, and Email Consent (TCPA)

When you check the consent box on a form on this website, you expressly agree that we (or partners acting on our behalf) may contact you at the phone number and email address you provided — including by phone calls, text messages (SMS), and email — about insurance coverage or career opportunities. Contact may be made using automated technology. Consent is not a condition of purchase, and standard message and data rates may apply.

We keep an internal record of the exact disclosure language you saw, the timestamp, and the IP address you submitted from, solely for compliance purposes.

How to opt out: Reply STOP to any text message to stop SMS. Click the unsubscribe link at the bottom of any email to stop emails. To stop phone calls, email tim@coatesinsurancegroup.com with the subject line "Do Not Call" and the phone number you want removed.

California Residents (CCPA / CPRA)

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, gives you specific rights regarding your personal information. This section describes those rights and how to exercise them.

Categories of personal information we collect. In the past 12 months we may have collected the following categories from you:

• Identifiers — name, email, phone number, IP address, online identifiers
• Customer records — information you provide on a contact, quote, or career form
• Geolocation data — state of residence, approximate location derived from IP
• Internet activity — pages visited on this site, referring URL, browser, device
• Professional information — resume content and work authorization status (career applicants only)
• Inferences — coverage interests inferred from form submissions

Sources. We collect this information directly from you when you submit a form, and automatically through cookies and analytics tools when you browse this site (subject to your cookie consent choice).

Purposes. We use this information to respond to your inquiry, evaluate your application, follow up about coverage or career opportunities, improve our website, and meet legal and regulatory obligations.

No sale or sharing. We do not sell your personal information for money, and we do not share your personal information for cross-context behavioral advertising. We have not done so in the prior 12 months.

Your rights. California residents have the right to:

• Know what personal information we have collected about you, the sources, the purposes, and the categories of third parties we share it with
• Access a copy of the specific pieces of personal information we hold about you
• Delete personal information we have collected from you, subject to legal exceptions (for example, records we are required to keep for insurance regulatory purposes)
• Correct inaccurate personal information we hold about you
• Limit the use of sensitive personal information (we do not currently use sensitive personal information beyond what is reasonably necessary to provide our services)
• Opt out of sale or sharing — not applicable here, since we do not sell or share your information as those terms are defined under the CCPA/CPRA
• Non-discrimination — we will not deny services, charge a different price, or provide a different level of quality because you exercised any of these rights

How to submit a request. Email tim@coatesinsurancegroup.com with the subject line "California Privacy Request" and a description of what you would like us to do. We will verify your identity by matching information in your request against information we hold (for example, the email address or phone number you previously submitted) before fulfilling the request. We will respond within 45 days; if we need more time we will let you know.

Authorized agents. You may use an authorized agent to submit a request on your behalf. We will require written proof of authorization (for example, a signed permission, or a power of attorney) and may still verify your identity directly.

Global Privacy Control (GPC). We honor the Global Privacy Control browser signal. If your browser sends GPC, we treat it as a request to opt out of analytics tracking on this website: Google Analytics is suppressed, no GA cookies are set, and the privacy banner shows a notice confirming the signal was received. We do not sell or share personal information for cross-context behavioral advertising in any case.

Other State Privacy Rights (CO, CT, VA, TX)

Residents of Colorado (Colorado Privacy Act), Connecticut (Connecticut Data Privacy Act), Virginia (Virginia Consumer Data Protection Act), and Texas (Texas Data Privacy and Security Act) have rights similar to the California rights described above, including the right to:

• Confirm whether we are processing your personal data and access that data
• Correct inaccuracies in your personal data
• Delete personal data we have collected from you
• Obtain a portable copy of your personal data
• Opt out of (a) the sale of personal data, (b) targeted advertising, and (c) profiling that produces legal or similarly significant effects

We do not sell personal data, conduct targeted advertising, or use personal data for profiling that produces legal or similarly significant effects, so the opt-out rights in (a)–(c) do not currently apply to our processing. As described above, we honor browser-level universal opt-out signals such as Global Privacy Control where required by these laws.

How to submit a request. Email tim@coatesinsurancegroup.com with the subject line "State Privacy Request" and a description of what you would like us to do, including the U.S. state where you reside. We verify identity by matching information in your request against information we already hold (for example, the email or phone number you previously submitted) before fulfilling the request. We will respond within 45 days where the applicable law allows that timeframe; if we need an extension we will let you know.

Right to appeal. If we decline to act on your request, you may appeal that decision by replying to our response with the word "Appeal" in the subject line. We will respond to your appeal in writing within 60 days. If your appeal is denied, the Colorado, Connecticut, and Virginia laws give you the right to contact your state attorney general; the Texas law gives you the right to contact the Texas Attorney General's Office.

How We Use Your Information

We use the information you provide to follow up with you personally, to discuss insurance coverage or career opportunities, and to improve our services. We do not sell or share your personal information with third parties for marketing purposes. Your information may be shared with licensed insurance carriers only as necessary to provide you with quotes or complete a policy application.

Communication

By submitting a form on our website, you consent to being contacted via phone, email, or text message regarding the inquiry you submitted. You may opt out at any time by replying "STOP" to any text or by emailing us directly.

Third-Party Services

We use the following third-party services in connection with this website:

• Google Analytics (GA4) for website usage analytics
• Resend for sending email notifications when you submit a form
• Calendly for appointment scheduling
• Google Cloud Storage for secure file storage (resume uploads)

These services process data on our behalf and are subject to their own privacy policies. We do not share your personal information with these providers for their own marketing purposes.

Data Retention

We retain your contact information and form submissions for as long as needed to serve your inquiry and maintain our business relationship. Analytics data (page views and session data) is retained for up to 24 months for the purpose of understanding website usage trends. You may request deletion of your data at any time by contacting us.

Data Security

We take reasonable precautions to protect the information you submit. Our website uses HTTPS encryption. Uploaded files are stored in access-controlled cloud storage. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Your Rights

You may request to access, update, or delete personal information we have stored from your form submission by contacting us at tim@coatesinsurancegroup.com. We will respond to your request within a reasonable timeframe.
